The administrative team at a busy service company was bogged down by a highly repetitive, manual document generation workflow. Upon receiving client inquiries and booking details, admins spent hours copy-pasting customer details into Google Doc templates, converting them to PDFs, drafting personalized emails, and attaching the files.
Operational challenges:
1. Over 15 minutes of manual admin labor per inquiry.
2. High frequency of copy-paste spelling errors in official contracts and proposals.
3. Response lag of several hours, leading to cold leads.
4. Lack of a standardized archive system for generated client documents. Our strategy was to eliminate every manual touch-point between a client inquiry and the delivery of their document — turning a multi-hour admin process into an instant, error-free pipeline.
The key insight was that every step in this process was 100% predictable: the same form, the same template, the same email — just with different client names and details. If it's predictable, it can be automated. We designed a zero-intervention automation using Google Workspace APIs that mirrors what the admin did manually, but executes it in under 10 seconds.
Our "submit once, deliver instantly" strategy:
→ Capture: Use Google Forms as the clean, consistent input interface for all inquiries.
→ Process: Apps Script intercepts every form submission and handles all downstream actions automatically.
→ Deliver: The client receives a personalized, branded PDF document via email within seconds of submitting.
The automation pipeline we built:
1. A Google Form submission fires a real-time Apps Script trigger — no polling, no delays.
2. The script opens the master document template and dynamically replaces every placeholder with the submitted client data.
3. The completed document is converted to a secure PDF and saved to a date-stamped Google Drive folder for automatic archiving.
4. The Gmail API dispatches a personalized, professional email with the PDF attached — instantly.
5. A log entry is written to an admin control sheet recording the client name, document link, timestamp, and delivery status for compliance.
The admin team went from processing inquiries one by one to simply monitoring a live log — the system handles everything else.
