A consumer brand was losing potential sales and facing high customer service costs due to delayed responses to out-of-hours inquiries. The internal support team was overwhelmed by repetitive questions regarding pricing, order tracking, and service policies, taking focus away from complex client consultations. Our strategy was to build an AI-powered front line that handles every routine customer interaction automatically — so the human team only deals with conversations that genuinely need them.
The key insight was that 70–80% of incoming support queries were identical: "What's the price?", "Where's my order?", "What are your timings?" These questions didn't need a human — they needed instant, accurate answers at any hour. By deploying AI agents trained on the client's own data, we could free up the support team to focus on complex cases while every other query was handled instantly.
We adopted a "triage first, escalate smartly" strategy:
→ Train on Your Data: Use RAG (Retrieval-Augmented Generation) to ground the AI in the client's actual product catalog, policies, and FAQs — so it answers accurately, not generically.
→ Meet Customers Where They Are: Deploy the AI on WhatsApp, Telegram, and phone — the channels customers already use, not new ones they have to adopt.
→ Escalate Intelligently: When a conversation goes beyond the AI's scope, hand it off to a human agent with full context — so the customer never has to repeat themselves.
What we built:
1. A RAG-based AI knowledge layer using LangChain — the chatbot pulls answers from a live, structured version of the client's product database and support documentation.
2. WhatsApp and Telegram chatbot deployments via the Twilio API — customers get instant responses on their preferred messaging platforms, 24/7.
3. A voice agent built on Vapi with ElevenLabs natural voice synthesis — answers inbound phone calls, qualifies callers, and books consultations with a human-sounding AI voice.
4. A calendar integration that lets the AI qualify leads and schedule sales calls directly into the team's booking system.
5. A smart escalation protocol — when the AI detects frustration, complex questions, or explicit escalation requests, it transfers the conversation to a live agent with a full conversation summary attached.
The brand went from missing leads after hours to capturing and qualifying them around the clock — without adding a single new team member.
